Overdue invoice email templates that get you paid

Four emails, one for each stage of an overdue invoice. Copy them, fill the brackets, send. Or let AwkLess run the reminder schedule for you.

Warm template, Day +1

When to send

The day after the due date.

Subject

Invoice [INV-042]: did this one slip through?

Body

Hi [Client name], Invoice [INV-042] for [$amount] was due yesterday. Happens to everyone. Inboxes are loud. You can pay in one click here: [payment link] Already sent it? Then ignore this and have a great day. [Your name]

Why it works

Assumes an oversight, makes paying a one-click job, lets them off the hook.

Neutral template, Day +5

When to send

Five days after the due date.

Subject

Invoice [INV-042] is 5 days overdue

Body

Hi [Client name], Invoice [INV-042] for [$amount] was due on [due date], and I haven't received it yet. Pay here: [payment link] Could you tell me by [date] that it's scheduled? If something is blocking it (a PO number, a different billing contact, a missing detail), say so and I'll sort it out on my side today. Thanks, [Your name]

Why it works

States the facts, asks for one date, offers to remove whatever is blocking payment.

Firm template, Day +10

When to send

Ten days after the due date.

Subject

Invoice [INV-042]: 10 days overdue, I need a date

Body

Hi [Client name], This is my third message about invoice [INV-042] for [$amount], due on [due date]. It is now 10 days overdue. I need one of two things from you by [date]: the payment, or a date I can count on. Pay here: [payment link] If cash is tight, tell me and we'll work out a plan. Silence is the only answer I can't work with. [Your name]

Why it works

Names the count, asks for a date, and leaves a door open for a payment plan.

Final template, Day +20

When to send

Twenty days after the due date.

Subject

Final notice: invoice [INV-042], 20 days overdue

Body

Hi [Client name], Invoice [INV-042] for [$amount] is now 20 days overdue. This is my final notice. If I don't have the payment, or a written payment date, by [date], I will pause all work on [project name] [and apply the late fee from our agreement]. I'd much rather not. Pay here: [payment link] If we need to talk, call me on [phone number]. I'm easy to reach. [Your name]

Why it works

Names a consequence you can actually carry out, then offers a call instead of a fight.

Templates are a starting point, not legal advice. Late-fee and interest rules vary by country.

Four rules we write by

  • Amount and payment link in the first lines.
  • One date per email, never "as soon as possible".
  • Raise the tone, not the volume.
  • Only promise what you will actually do.

Don't want to chase invoices yourself? AwkLess sends your reminders on schedule: Warm on Day +1, Neutral on Day +5, Firm on Day +10, Final on Day +20.
